In collaboration with the Occupational Health and Safety (OHS) Manager, the person in this role provides administrative and operational support to the OHS team. They act as a point of contact for local OHS committees, contribute to maintaining the OHS management system, support medical absence management activities, and participate in the production and analysis of incident and workplace accident data.
- Participate in OHS committees when required;
- Coordinate the distribution of medical absence files with the absence management team and manage absences of less than 7 days;
- Conduct interviews for workplace accident investigations (first contact);
- Follow up on monthly inspections;
- Maintain the list of first aiders and coordinate training (Transat (Agencies) and Air Transat);
- Participate in various improvement projects to prevent workplace accidents, occupational diseases, and medical absences;
- Track the progress of accident investigations and corrective actions with managers, and coordinate the implementation of corrective and preventive actions;
- Act as an expert in the incident and accident reporting system and train new OHS committee members on its use;
- Participate in the updating and development of certain procedures, maintain and improve the OHS Intranet site;
- Produce statistics on workplace incidents and accidents and perform any other related tasks.
Qualifications
- Occupational Health and Safety (OHS) certificate or a college diploma in administration combined with relevant OHS experience, or any equivalent combination of education and experience.
- Minimum of one (1) year of experience in an OHS-related role. No experience is required for those with an OHS certificate.
- Experience in administrative coordination, document management, or case follow-up in a corporate environment.
- Strong organizational skills, priority management, analysis, and the ability to follow multiple cases simultaneously.
- Rigor, discretion, respect for confidentiality, autonomy, initiative, and excellent collaboration skills.
- Knowledge of the organization, its activities, and its unions is an asset.
- Excellent proficiency in MS Office tools (Word, Excel, Outlook, Teams) and demonstrated ease with collaborative digital tools and AI (e.g., Copilot). Ability to learn quickly and adapt to new technologies.
- Proficiency in both French and English, both spoken and written.
- *A good command of French is required for positions in Quebec. The person in the role will need to communicate frequently in English, both orally and in writing, with colleagues, clients, or other stakeholders, both in Quebec and internationally.*
