**The Opportunity – Build the Future with Us**

Contribute actively to the management of WSP's national portfolio of real estate as a Lease Administrator. In this role, you will ensure the accuracy, compliance and efficiency of lease agreements and financial processes, supporting environments where our teams deliver high-impact projects across Canada.

**Your Impact**

  • Review lease agreements and extract key information, including terms, clauses, options, critical dates, property information and professional, legal and financial obligations
  • Enter and maintain lease data in a property management database ensuring data integrity
  • Maintain and update lease activities (new contracts, renewals, extensions, terminations, etc.) in a global database
  • Maintain all lease agreement files, including signed agreements and correspondence with owners
  • Set up and maintain vendors and coordinate required documents in accordance with WSP's policies for payments
  • Prepare and draft notices to owners in accordance with lease clauses for critical options
  • Review and monitor critical lease dates
  • Review lease documentation (leases, amendments, estops, SNDAs, etc.) to ensure accuracy
  • Generate improvement in lieu of rent invoices and submit reimbursement requests to owners
  • Manage security deposits, including refunds, dispositions and collection of delinquent accounts
  • Perform end-of-year reconciliation reviews and recommend items for audit (operating expenses, property taxes, CAM, additional rent)
  • Support regional directors by providing lease information (costs, dates, etc.) and lease summaries
  • Update owner and property management company contacts
  • Coordinate maintenance needs with owners on behalf of the client
  • Coordinate move-in and move-out activities in accordance with lease agreements
  • Coordinate insurance certificates and ensure they are up to date
  • Produce and distribute reports as needed
  • Review monthly rent invoices and collaborate with owners and vendor accounts to correct discrepancies
  • Generate monthly reports to process rent payments and one-time payments
  • Prepare monthly rent reports, adjust data and process retroactive payments
  • Manage sublease payments and track late payments
  • Provide end-of-year reconciliations to sublessees for adjustments

  • Minimum of 3 years of experience in commercial lease abstraction or real estate administration
  • In-depth knowledge of commercial lease agreements
  • Ability to interpret and analyze lease information
  • Strong attention to detail and accuracy in processing large volumes of data
  • Excellent computer skills and ability to quickly learn new systems
  • English proficiency is required to support national initiatives and communicate with English-speaking stakeholders
  • Strong organizational, communication and time management skills
  • Analytical, problem-solving and detail-oriented mindset

  • AB, BC, NT, NU, SK & YT: $77,400 - $102,500
  • MB & ON: $70,600 - $97,200
  • NB, NL, NS, PE & QC: $69,900 - $92,900
