We are looking for a dynamic, meticulous, proactive, and highly organized individual to support the executive team in the daily and strategic management of operations. This central role requires a great ability to thrive in a stimulating environment, manage multiple priorities simultaneously, and actively contribute to creating memorable experiences. The executive assistant acts as a true operational lever, directly contributing to the efficiency, fluidity, and overall performance of the organization.
ADMINISTRATIVE MANAGEMENT
- Organize and structure documentation
- Set up and maintain effective tracking systems
- Provide support for daily operations
- Prepare, review, and structure strategic documents
- Coordinate meeting follow-ups
- Compile, analyze, and interpret data
- Design management dashboards
- Participate in continuous process improvement
ACCOUNTING AND BUDGETARY FOLLOW-UP
- Enter and track financial transactions
- Manage accounts payable and receivable
- Participate in budget preparation and tracking
- Produce budgetary follow-up reports
SALES AND CUSTOMER SERVICE
- Respond to incoming calls, emails, and requests
- Perform customer follow-ups
- Prepare proposals, agreements, and follow-ups with partners
- Manage administrative follow-ups of agreements
- Contribute to communications and customer service
CONDITIONS AND BENEFITS

PROFILE AND REQUIRED QUALIFICATIONS
- Education in administration or a related field
- 5 years of relevant experience
- You are active, dynamic, and resourceful
- You enjoy versatility and change
- You are comfortable with clients, field teams, and computers for tracking
- You possess excellent organizational skills, a high level of rigor, and a Cartesian mindset
- You are comfortable with numbers, administrative tracking, budgets, and analysis
- You have a strong interest in continuous procedure improvement and work method optimization
- You are proficient in Microsoft Excel and Word, as well as Google Workspace tools
- Knowledge of an accounting software (an asset)
- Excellent communication and customer service skills
- Organizational skills, autonomy, and ability to manage multiple files simultaneously
- Proficiency in both French and English, spoken and written
- Availability and flexibility to work according to event schedules
- Location: Hybrid remote work in Quebec City, QC
