The Administrative and Tax Operations Manager is responsible for supervising and coordinating administrative operations and activities related to tax compliance within the company.

The position requires experience in tax administration, tax return verification, tax document correction, and administrative procedure management. The successful candidate must demonstrate the ability to supervise staff, implement quality control procedures, and ensure compliance with Canadian tax regulations.

*Responsibilities*

ADMINISTRATIVE SUPERVISION AND MANAGEMENT

  • Plan, organize, direct, and evaluate administrative department activities;
  • Supervise and direct administrative staff and tax verifiers;
  • Train, develop, and evaluate team performance;
  • Establish work priorities and ensure deadlines are met;
  • Participate in interviews, hiring, and training of new staff;
  • Implement administrative policies and procedures;
  • Organize regular team meetings;
  • Prepare reports and summaries for management.

PROCEDURE MANAGEMENT AND COMPLIANCE

  • Develop, implement, and maintain administrative procedures;
  • Coordinate administrative services (registers, security, resources, and supplies);
  • Ensure control of physical and digital documents and archives;
  • Implement internal controls to ensure compliance;
  • Maintain confidential client files;
  • Ensure protection of personal information in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA);
  • Manage communications with the CRA as required;
  • Prepare documents for external audits.

TAX RETURN VERIFICATION AND CORRECTION

  • Supervise the review and verification of federal and provincial tax returns for individuals and businesses to ensure accuracy and compliance with CRA and Revenu Québec requirements;
  • Control the accuracy of tax data, income calculations, deductions, and tax credits, as well as the compliance of supporting documents;
  • Examine complex tax files, identify errors, and supervise necessary corrections or modifications;
  • Implement quality control procedures and validate work performed by tax preparers and verifiers.

FINANCIAL MANAGEMENT

  • Administer and control department budgets;
  • Authorize purchases of equipment and supplies;
  • Maintain department financial records;
  • Process payments and operational expenses;
  • Prepare monthly and quarterly financial reports.
  • *Required Experience*
  • Previous experience in taxation is essential; candidates without this experience are encouraged to refrain from applying.
  • Minimum of 1 to 2 years of experience in a supervisory or administrative management role within a tax, accounting, or financial services environment;
  • Post-secondary diploma in business administration;
  • French and English mandatory, as the company serves clients from various Canadian provinces;
  • Spanish, an asset;
  • Proficiency in tax software (ProFile, Sage, QuickBooks, etc.), an asset.
  • *Working Conditions*
  • Salary: $36/hour;
  • Full-time (30 to 35 hours/week);
  • Monday to Friday;
  • During the tax season (January to June): possibility of overtime;
  • Job Types: Full-time, Fixed term contract
  • Pay: $36.00 per hour
  • Work Location: In person
