Job Title 2101 - Administrative Technician
Person who performs tasks related to the management of human, financial, and material resources or procurement. They assume responsibilities related to the organization of work and the planning of the execution of complex administrative tasks such as data collection and analysis. They may also be responsible for the administrative functioning of their environment and oversee the internal and external relations of that environment. They are responsible for the activities of the office staff of the management.
Responsibilities
Under the authority of the General Management – Elderly Health and Well-being within the VP Operations and Coordination, the person holding the position acts as a key partner in the administrative support of the management to ensure the smooth running, consistency, and rigorous follow-up of the files entrusted to the team. They ensure a transversal, structuring role essential to the proper functioning of the activities, in support of managers and the team. They oversee the planning, organization, and follow-up of priority files, ensuring the fluidity of communication, the quality of deliverables, and the respect of deadlines.
The person holding the position performs complex secretarial and office work requiring excellent mastery of computer tools and in-depth knowledge of administrative practices. They actively contribute to the structuring of processes, document management, and the optimization of work methods.
They follow up on the decisions of managers with the concerned teams, analyze the requests received, determine the actions to be taken, and ensure their appropriate handling or redirection. They intervene autonomously in the resolution of problematic situations within their area of expertise.
They contribute to the administrative support and coordination of strategic files, support the preparation of high-level documents, and participate in the continuous improvement of administrative practices. Throughout their functions, they act with a high level of autonomy, judgment, rigor, discretion, and in a demanding management environment where confidentiality is essential.
More specifically, the main areas of action are as follows:
- Ensure rigorous follow-up of the files entrusted to the management team, in collaboration with managers;
- Set up and maintain tracking tools (dashboards, schedules, decision registers) to support reporting;
- Proactively manage the managers' agendas: planning meetings, committees, training, and travel according to organizational priorities;
- Prepare the files required for managers' meetings and activities;
- Manage electronic communications: sorting, prioritization, follow-up, and redirection of emails;
- Follow up on calls, information requests, and correspondence;
- Organize committees: invitations, agendas, logistics, drafting minutes, and follow-up on decisions;
- Coordinate the preparation and submission of documents to internal and external bodies;
- Follow up on decisions and ensure their implementation within the prescribed deadlines;
- Ensure document management, including classification, storage, and confidentiality of documents;
- Perform quality control of documents and administrative operations;
- Follow up on budgeting and the management of material resources of the management;
- Perform any other related tasks in connection with their functions.

- Working Conditions
Hourly rate: 27.78$ to 37.08$ according to experience.
Employment status: Full-time (35 hours)
Base of operations: Montreal or Quebec
Work location: Possibility of a hybrid mode.
Start date: As soon as possible.
Union accreditation: Non-unionized (SNS)
Admission Conditions
The candidate must hold:
- A college diploma (DEC) in general administration, accounting and management techniques, office techniques, or another appropriate college discipline from a recognized school or a college diploma (DEC) combined with a first-cycle university certificate relevant to the field or a relevant college certificate (AEC) of more than 800 hours combined with relevant experience in the field.
- This position also includes individuals who hold a college certificate in administrative techniques.
For consideration, any schooling completed outside of Canada must have been subject to a comparative evaluation (equivalence certificate) issued by the Ministry of Immigration, Francization, and Integration.
It is mandatory to possess Canadian citizenship, permanent resident status, or a work permit issued by the competent federal authority to hold this position.
