Hatch is currently seeking a Document Controller at our Montreal office.

Engineering and EPCM Project Documentation Management

  • Ensure the control and management of all technical and administrative documentation associated with multidisciplinary engineering, procurement, and construction management (EPCM) projects.
  • Verify the compliance of incoming and outgoing documents (revisions, statuses, reasons for issuance, nomenclature, data quality, and contractual requirements).
  • Maintain the integrity, traceability, and complete lifecycle of project documents in accordance with established processes.
  • Perform the classification, indexing, and archiving of documents in document management systems (DMS) while ensuring the accuracy of metadata.

Document Coordination and Distribution

  • Coordinate the receipt, processing, and distribution of documents among engineering teams, clients, suppliers, contractors, and external partners.
  • Manage document exchanges related to technical deliverables, plans, drawings, specifications, technical reports, and other project documents.
  • Track transmissions, approvals, and feedback to meet project deadlines.

Document Governance and Continuous Improvement

  • Ensure compliance with applicable document management procedures, standards, and requirements for projects.
  • Produce reports and performance indicators related to document activities.
  • Identify opportunities for process improvement and contribute to the optimization of document management practices.
  • Provide support and training to users of document platforms and act as a resource person for internal teams.

Project Team Support

  • Collaborate closely with project managers, engineers, designers, and project coordinators to ensure effective information flow.
  • Respond to requests from various teams regarding document search, download, extraction, compilation, and printing.
  • Perform any other related tasks contributing to project success.

Qualifications Required

  • University or college degree in a relevant field, such as document management, archival studies, administration, or related discipline.
  • Minimum of five (5) years of experience in document management or document control.
  • Experience in the engineering, EPCM, construction, infrastructure, energy, transportation, or natural resources sectors is strongly preferred.
  • Experience with the processing of technical documents such as plans, engineering drawings, specifications, technical reports, and construction documentation.
  • Good proficiency in Microsoft Office suite and Adobe Acrobat.
  • Experience with DMS platforms such as SharePoint, OpenText Content Server (LiveLink), Aconex, Procore, ProjectWise, or equivalent systems.
  • Excellent proficiency in French; English is an asset for interacting with teams, clients, and projects at the Canadian or international level.
