As a Regional Administrative Specialist, you will be responsible for providing administrative and operational support to Financial Advisors and Portfolio Managers.

Does this role suit you? In this role, you will have to

  • Process documentation requests and enter transaction requests according to the instructions of Financial Advisors.
  • Work in partnership with Financial Advisors and Portfolio Managers to organize meetings with clients.
  • Effectively respond to all information requests from current and potential clients regarding MD products and services.
  • Respond to last-minute requests from Financial Advisors during client meetings.
  • Maintain a tracking system for information requests, complaints, and problem resolution, ensuring that MD-established service standards are met in a timely manner.
  • Provide support and participate in customer problem research and resolution.
  • Prepare Financial Advisors and Portfolio Managers files before client meetings.
  • Prepare and process documentation related to new accounts, as needed.
  • Update the database for all client contacts, ensuring that all client information and notes are correctly recorded.
  • Perform monthly compliance tasks, if applicable.
  • Liaise with accountants and third parties, if applicable.
  • Prepare commercial correspondence with clients and third parties.
  • Participate in projects as needed.
  • Ensure the reception and general office tasks.

Education, Professional Experience, Certifications and Required Skills

  • College diploma in Business Administration or equivalent
  • 2 years of experience in an administrative or office position, preferably in the financial services sector
  • Proficiency in Microsoft Windows and its applications, including Excel, Word, PowerPoint, and MS Outlook.
  • Practical knowledge of CRM2
  • A deep sense of customer service
  • A high sense of organization
  • A strong level of attention to detail and tracking skills
  • Excellent oral and written communication skills
  • Demonstrate initiative and ingenuity
  • Ability to work independently or effectively as part of a team
  • Ability to manage multiple priorities in a rapidly changing environment
  • Ability to effectively manage change
  • A particular attention to achieving results

In addition to French, the successful candidate must also have sufficient proficiency in English, as the work involves regularly interacting and collaborating with groups and individuals based in Toronto, as well as constantly interacting with other individuals, including clients, who speak English, locally and elsewhere.
