helloDarwin is a technology platform that helps companies plan and subsidize their growth projects in HR and technology. Since 2017, our Montreal-based team has supported over 13,000 companies in their digital transformation by helping them secure government funding.

We currently have 60 employees and are growing rapidly, particularly within our non-dilutive funding support service.

Your Role at helloDarwin

You are the pivot between HR operations, office life, and managers. You manage the administrative aspects of employees, lead the Good Vibes social committee, and provide concrete support to managers on a daily basis — all in a fast-paced startup environment where your initiative makes a real difference.

The tasks listed below are possible but not exhaustive — you may also, without limitation, manage a team attached to your department or another, and take on any related tasks to support managers according to the company's needs.

1. Human Resources

  • Employee file management: hiring, status changes, departures
  • Tracking and updating employee contracts and HR documents
  • Preparing and following up on bi-weekly payroll (experience with Rippling required)
  • Managing employee benefits: insurance, vacation, leave
  • Responding to HR questions from employees and managers
  • Ensuring compliance with internal policies and HR best practices
  • Coordinating the performance evaluation process
  • Sorting and pre-selecting received applications

2. Culture & Employee Experience

  • Responsible for the Good Vibes social committee
  • Planning and coordinating initiatives: well-being, engagement, cohesion
  • Mobilizing and mentoring committee members
  • Managing the budget for cultural and social activities
  • Organizing internal events (5 to 100 people)
  • Listening to employees to propose concrete actions

3. Support for Managers & Organization

  • Administrative and organizational support for managers
  • Logistical coordination of internal events and marketing
  • Tracking inventory and office organization
  • Continuous improvement of administrative processes

Required Profile

  • Bachelor's or Master's degree in Business Administration, Human Resources, Management Sciences, or related field
  • Minimum 2 years of experience required
  • Decision-making skills, organizational sense, and excellent communication
  • Autonomy, diligence, and resourcefulness
  • Proficiency required in the following software: Rippling, Office Suite, Google Suite, HubSpot, Notion, QuickBooks
  • Preferred knowledge: Tedy, Stripe
  • Advanced knowledge and use of AI tools
  • Immigration knowledge required
  • French mandatory and functional English (communication with anglophone employees in Ontario)
  • Must be legally authorized to work in Canada
  • Working Conditions

Working Language

  • Primarily French, with occasional use of English for communication with anglophone employees (Ontario)

Salary

  • Annual salary: $90,000
  • Annual salary review conditional on performance evaluation results and the applicable salary grid, according to the schedule determined by the Company (up to a maximum of 8%)
  • Possible commissions and bonuses

Vacation & Leave

  • 3 weeks per year, increasing to 4 weeks after 2 years of seniority
  • Christmas and New Year's Day off offered, according to operational needs and the company's discretion

Schedule & Remote Work

  • Monday to Friday, 40h/week
  • Remote work possible 1 to 2 days/week after 3 months of seniority
