In an increasingly competitive market, our Marketing, Communications, and Business Development team helps Arup build and protect our reputation, strengthen client relationships, win quality projects, and attract top talent. This role is essential to achieving our strategic market and client goals. We are looking to recruit a Marketing — Winning Work and Proposal Coordinator for Canada to strengthen our team.
The Marketing — Winning Work and Proposal Coordinator provides professional support and contributes to winning work activities within the region. The individual offers operational support and contributes to proposals throughout the prospecting and tendering cycle, ensuring alignment with business priorities and established winning work practices.
The coordinator works closely with tender directors and managers, as well as technical teams, to support prospecting planning, proposal development, and interview preparation, contributing to the presentation of high-quality submissions. The role requires a strong understanding of Arup’s value proposition and services, the industry and markets in which we operate, as well as the clients and colleagues with whom we work and the people who deliver the projects.
Responsibilities
- Work with tender directors and managers at all stages of the prospecting process.
- Support tender coordination to produce compelling and client-focused submissions.
- Coordinate the content of Arup’s submission and presentation documents.
- Collaborate with Marketing, Communications, and Business Development team members — writers, editors, graphic designers, customer relationship managers, etc. — to support message formulation and proposal quality.
- Gather highlights from won projects to share internally and, in collaboration with the expanded Marketing, Communications, and Business Development team, promote new won projects internally and externally, as needed.
CRM and Systems
- Use customer relationship management and submission systems throughout the tender cycle, contributing to data integrity and business opportunity tracking.
- Master the use of best practice tools, templates, and resources to effectively support prospecting and tendering efforts and enhance enterprise-wide efficiency.
- Update tender data in tender portals, SharePoint databases, and customer relationship management systems.
Market and Client Orientation
- Support client-facing activities, including conducting research to support positioning activities and contributing to presentations and interview preparation.
Education
- University degree, graduate degree in marketing, communications, business development, or other relevant qualification.
APMP certification preferred.
Knowledge and Experience
- More than three years of relevant experience in supporting prospecting and tendering efforts.
- Experience in managing tenders at a local office or geographic region level.
- Knowledge of tendering and procurement methods in the architecture, engineering, and construction industry.
- Collaboration with technical staff and marketing team to ensure the proposal process is followed and that all proposal and qualification documents are of high quality and uniform.
- Experience with business opportunity tracking CRM and data management tools.
- Active contribution to the company’s professional team by maintaining and strengthening Arup’s core culture and values.
Skills
- Excellent French language skills, both oral and written. Proficiency in another language may be required to communicate with colleagues, business partners, and our clientele outside of Quebec;
- Strong analytical and problem-solving skills;
- Strong communication and interpersonal skills;
- Proficiency in marketing and communications technologies, including Microsoft PowerPoint and Adobe Creative Suite;
- Experience with brand guidelines;
- Ability to work in a fast-paced environment;
- Strong time management skills;
- Maintenance of collaborative working relationships with colleagues, managers, and other stakeholders;
- High level of personal integrity, professionalism, and inclusive leadership;
- Commitment to Arup’s goals, including contributing to a human-centered organization, quality work, and ethical practices.

Salary range — The salary range established in good faith for this position, if filled in Montreal, is $70,000 to $80,000 per year. This range depends on experience, education level, and skills. Benefits are not included in the base salary. Please note that the salary range applicable to candidates working outside the Montreal office may vary.
