Precise Property is seeking an experienced Real Estate Paralegal to oversee its commercial and industrial lease portfolio across Quebec and the U.S. This hands-on role is responsible for the accurate and timely administration of lease data — maintaining rent rolls, tracking critical dates and reconciling lease terms. You will work closely with the CEO and internal teams (property accounting and property management) and coordinate with external counsel, insurers and lenders. Deliver concise lease reporting and ensure compliance, data integrity and operational efficiency to support strategic and financial decision-making.

Position Summary
- Draft commercial and industrial lease agreements and coordinate with external counsel.
- Perform full-cycle lease and sublease data entry in Yardi or similar systems, accurately recording clauses, amendments, assignments and audit trails.
- Maintain comprehensive tenant records — contacts, payment methods, lease terms and security deposits — and manage onboarding/offboarding logistics.
- Configure and reconcile rent parameters, including escalations, indexation, percentage rents, TI allowances and recoverables, ensuring rent-roll accuracy.
- Track and proactively manage critical lease dates (commencement, expiry, renewal and assignment windows), trigger notifications and coordinate billing.
- Prepare concise lease summaries and guidance for accounting and leadership; coordinate assembly and execution of lease documents with counsel, brokers and lenders.
- Produce lease administration reports and analytics — occupancy, expiries, rent-roll movements and recoverables — to support finance and operations.
- Manage insurance renewals and tenant data provision to brokers; support mortgage and financing documentation by coordinating required lease information.
- Maintain corporate records, REQ filings and minute books; communicate proactively with the CEO and property accounting to resolve lease issues.
Qualifications
- Minimum 5 years' real estate paralegal experience in commercial or industrial real estate.
- Bilingualism (French & English, verbal and written).
- Proficiency in Microsoft Office Suite.
- Strong working knowledge of accounting systems, particularly Yardi, is considered an asset.
- Detail-oriented with excellent organizational and analytical skills.
- Ability to work collaboratively across departments in a fast-paced environment. Confident in communicating directly with the CEO, asking questions, and maintaining open, solution-focused dialogue.
- Asset if diploma or formal training in Finance, Law, or a related field.
- Pay: $110,000.00-$130,000.00 per year
