Summary

The Payroll Specialist supports payroll operations by accurately entering payroll data, maintaining payroll files, and answering payroll-related questions. This person plays a significant role in ensuring the accuracy of payroll, supporting compliance, and providing payroll services to employees.

Main Tasks and Responsibilities

  • Perform the complete payroll cycle for semi-monthly Canadian and American payrolls with accuracy and within prescribed deadlines, including earnings, deductions, adjustments, bonuses, reimbursements, taxable benefits, and other payroll-related entries.
  • Review and validate payroll data, source documents, and changes to employee payroll files to ensure their completeness, accuracy, and appropriate approval before payroll deadlines, including direct deposits, tax forms, payroll deductions, social benefits deductions, pay changes, and employment status changes.
  • Coordinate with external vendors as part of the monthly international payroll process, including providing changes to employee files, leave calculations, calendars, and country-specific supporting documents.
  • Participate in the administration of payroll for expatriates and cross-border employees, including coordinating travel schedules, dummy payroll data, hypothetical tax adjustments, and year-end payroll adjustments.
  • Collaborate with Human Resources to resolve payroll data issues, missing approvals, time discrepancies, and employee file updates.
  • Maintain accurate payroll files and related supporting documents in accordance with company policies, audit requirements, and applicable payroll regulations.
  • Answer employee questions regarding payroll, including pay stubs, deductions, direct deposit, tax withholdings, benefits, and payment timing; forward complex files to the HR/Payroll Manager and/or Accounting Manager as needed.
  • Support payroll compliance activities, including regular payroll audits, payroll discrepancy analysis, year-end validation, and preparation of payroll-related reports.
  • Participate in end-of-month, end-of-quarter, and year-end payroll accounting activities, including payroll journal entries, bonus provisions, payroll reconciliations, and balance sheet reconciliations related to payroll accounts.
  • Process and review HR, payroll, and benefits-related invoices in the accounting software, including invoice coding, approval tracking, and wire/check requests.
  • Support payroll audit requests by gathering, organizing, and validating payroll files, reports, and supporting documents.
  • Participate in the documentation of payroll procedures, checklists, and process improvements to support uniform and audit-ready payroll operations.
  • Maintain strict confidentiality of employee payroll information and sensitive files.
  • Perform any other HR and payroll-related tasks as needed.

Qualifications

  • Deadline-oriented, meticulous, organized, able to establish priorities and manage multiple requests simultaneously

Education and/or Experience

  • 2 to 3 years of experience in payroll, including payroll data entry and report production
  • Bachelor's degree in accounting, finance, economics, or equivalent work experience
  • Canadian or American Payroll Association certification, an asset
  • International payroll experience, an asset
  • Functional knowledge of payroll software required; experience with Dayforce, an asset
  • Proficiency in Microsoft Office, particularly Excel
  • Proficiency in French and advanced English required, both written and oral. English is required for this position as the person will need to support and communicate regularly with managers, employees, payroll vendors, auditors, and other third parties located outside of Quebec, including in English Canada, the United States, Europe, and Asia-Pacific.
  • Work Environment

The position is exercised in a general office environment and may require travel, up to 5% annually, to remote offices as needed by organizational or operational requirements.

Physical Requirements

The person must be able to remain in a stationary position for the majority of the workday, seated at a desk, and regularly use a computer. The person occupying this position must be able to access file cabinets and office equipment, including a computer, copier, and fax machine. Occasionally, they may need to lift boxes weighing up to 10 lb.
