Within the administrative team at the Energy Materials Telecommunications Center, you will contribute to the mission of education and research of a unique institution whose scientific activities are entirely directed towards strategic issues for the development of Quebec society.

Your Role

You will perform, under limited supervision and in collaboration with other team members, a set of complex and diverse administrative tasks involving the coordination and follow-up of various files. You will have freedom of action in the choice of work methods and procedures, while respecting the framework of existing practices and rules of operation, particularly concerning confidentiality rules.

Your Responsibilities

More specifically, you will assume the following tasks and responsibilities:

  • Participate in the administrative coordination and follow-up of current operations related to student and postdoctoral affairs, including the management of scholarship competitions, financial support, the procedure to follow for thesis defenses, the registration of postdoctoral interns as free students, the submission of theses and memoirs, first-cycle internships, letters of scholarships exempting increased fees, etc.
  • Communicate responses to questions within your competence and identify those that may be handled by others. Prepare a summary of urgent issues to submit to your immediate supervisor for decision.
  • Collaborate in the preparation of various budgets and transmit the necessary information.
  • Participate in reflections and the implementation of initiatives, such as mentoring students as well as initiatives carried by student associations, etc.
  • Ensure the organization of the welcome day for students at the Center.
  • Prepare administrative forms, such as payment requests, journal entries, and internal billing.
  • Collect and analyze data, statistics, and reports.
  • Be part of different committees at the Center and ensure their follow-up. Act as a committee secretary, if necessary.
  • Temporarily perform tasks of a related or lower position when required. The list of tasks and responsibilities already enumerated is summary and indicative.
  • Desired Profile

Education

  • Hold a high school diploma or a diploma or certificate of studies whose equivalence is recognized by the competent authority.

Experience

  • Possess three (3) years of relevant experience.

Additional Information

Posting from July 22, 2026 to August 4, 2026 (internal and external)

Temporary position under the administration manager of the Energy Materials Telecommunications Center in Varennes. Initial contract of three (3) months with the possibility of renewal.

Full-time position, 35 hours per week. Hybrid remote work possible, with required presence each week in our Varennes offices.

According to the salary scale class 5, the salary for a secretarial agent level 4 can vary between $28.46 and $34.67 per hour depending on experience and training. This position is covered by the collective agreement of the Syndicate of Researchers at the University of Quebec (SCUQ).
