The Role, Your Impact:
Reporting to the Corporate Purchasing Director, the Procurement Process and Contracts Specialist is responsible for structuring, deploying, and enforcing processes related to procurement calls and contract management, in close collaboration with procurement teams, internal partners, and system users.
The incumbent acts as a functional reference for processes, templates, rules, and best practices, and directly contributes to compliance, efficiency, and quality of the organization's contractual commitments.
This role is crucial to ensure the discipline, compliance, and quality of the organization's contractual commitments, while supporting the evolution and maturity of the procurement function.
Main Responsibilities: Procurement Calls Process
Define, document, and maintain corporate procurement call processes (RFI, RFP, RFQ), including steps, roles, responsibilities, and deliverables.
Support procurement teams and internal partners in planning and executing procurement calls.
Develop and maintain standard templates (procurement call documents, evaluation grids, vendor communications).
Ensure uniform application of governance, ethics, and transparency rules in procurement call processes.
Contract Management
Structure and evolve the vendor contract management framework (creation, approval, tracking, renewal, and archiving).
Define and maintain contractual templates, standard clauses, and minimum requirements, in collaboration with legal and financial teams.
Ensure contract compliance with policies, procedures, and governance frameworks.
Support teams in using procurement tools for contract management (e.g., Coupa, ERP).
Governance, Compliance, and Adoption
Ensure governance of the adoption of procurement call and contract processes, policies, and procedures by all system users.
Implement control and tracking mechanisms to ensure compliance and quality of files.
Identify gaps, recommend corrective actions, and contribute to continuous improvement of practices.
Act as a reference point for questions related to processes and their application.
Develop and facilitate training, awareness, and communication activities for employees to ensure understanding, adherence, and application of procurement call processes.
Continuous Improvement and Performance
Analyze existing processes to identify improvement opportunities in terms of efficiency, timeliness, and quality.
Define and track performance indicators related to procurement calls and contract management.
Contribute to the evolution of procurement tools and practices.
Contribute to the optimization of Sourcing tool usage through standardization of practices, improvement of data quality, and reliability of contractual information.
Education and Experience
University degree in administration, management, procurement, business law, or other relevant field.
Relevant experience in procurement, procurement calls, contract management, or process governance.
Good knowledge of procurement call processes and principles of contract management.
Experience with procurement tools or ERP, particularly Coupa (P2P) and Coupa Sourcing Optimization (a plus).
Key Skills: High level of rigor and strong sense of compliance.
Ability to structure, document, and standardize processes.
Analytical skills to interpret data from procurement tools and support continuous improvement and standardization of processes.
Excellent communication and collaboration skills with diverse stakeholders.
Ability to influence without hierarchical authority.
Internal customer orientation and continuous improvement.
Excellent proficiency in French and English.
