OBJECTIVE
Provide administrative support at the Montreal East Terminal, ensuring rigor and organization in the activities of the various services. Manage hourly payroll and social benefits; ensure daily liaison for the transmission of problems encountered by employees. Perform regular billing and tracking tasks (vendor accounts, invoice management, expense tracking, etc.), and participate in site safety initiatives. Additionally, support the plant manager in the management and reporting related to production, inventory, and plant forecasts.
MAIN RESPONSIBILITIES
- Promote a safety culture through dialogue with colleagues and subcontractors, and contribute to the development and management of safety policies and procedures aimed at achieving the "zero" incident goal.
- Execute vendor account management tasks, including the creation of purchase requests, tracking of purchase orders, verification, and receipt of invoices and bills of lading in SAP.
- Ensure bi-weekly payroll closure for hourly employees, maintain up-to-date employee files, and manage social benefits and retirement programs via MyLife.
- Coordinate monthly financial reports, forecasting tools (MBP), real stock verification for audit, and investment budget management (CAPEX).
- Support production by updating reference data (daily reports, manufacturing recipes, energy consumption) and analyze investment needs with operational teams.
- Manage general office administration, mail processing, equipment and supplies, and service contract tracking (uniforms, maintenance, telephony, site security).
- Assist vendors in updating their information in the Avetta Health and Safety database.
- Organize physical fitness assessments for hiring, EPI distribution, uniform try-ons, and collaborate on organizing social activities.
Demonstrate a commitment to communicate, improve, and respect health, safety, and environmental policies in all work environments and areas. Promote a safety culture and exhibit these behaviors.
COMPETENCY PROFILE
- Education: Professional DEC (3 years) or Bachelor's degree in administration, accounting, finance, human resources, or related field.
- Required Work Experience: 5 to 10 years of experience in administration, office management, or accounting.
- Certifications and Technical Skills: Accounting administration certificates; proficiency in Microsoft Office and Google Suite; proficiency in SAP and ERP software (major asset).
- Key Skills: Strong administration and accounting skills; excellent organizational and interpersonal skills; ability to manage priorities, handle multiple requests, and work autonomously in a team.
- Language Requirements: Bilingual in French and English (oral and written) required, as the incumbent must regularly communicate with clients, vendors, and out-of-Quebec support teams.
Additional Requirements
- Flexibility in schedules due to the 24/7 operation of the site (ship receipts, vacation replacements, etc.).
Selected candidates must adhere to all safety protocols and appropriate use of Amrize-approved personal protective equipment (PPE), including but not limited to respirators. Employees who must wear respirators must be shaved where the respirator seal meets the face to successfully pass qualitative and quantitative fit tests.
