Job Overview
As a Document Control Manager, you will manage and lead document control teams for major projects across Quebec. You will be responsible for establishing the document flow and distribution for design and construction teams at the project office.
Ensure that all practices and procedures comply with project document retention requirements and conduct periodic audits to ensure continuous compliance. Establish procedures to ensure timely document processing to meet established delivery dates. Collect and record all contractual documents and project documentation from the tender phase to project completion. Reproduce, distribute, store, and retrieve documentation.
District Overview
Eastern Canada District projects include highways, bridges, public transportation, mining site development, open-pit mining operations, hydroelectric power plants, wind farms, dams, and industrial facilities. They serve the construction and mining industries and operate in Eastern Canada.
Location
This position will be located in our Laval office. Candidates are expected to work in the office.
Responsibilities
- Manage the organization and maintenance of an electronic document control and management system
- Develop and implement specific procedures and processes for the receipt and stamping of incoming documents, recording, distribution, filing, review, approval, and dissemination
- Optimize document control processes to minimize double handling of information or manual data entry
- Actively work on improving and/or developing department procedures, workflows, and templates. Show a commitment to quality assurance
- Establish the interface with any client or partner document management system
- Train project teams on document control tools and processes to ensure compliance with the project document control management plan
- Supervise, mentor, and develop junior and intermediate-level document control personnel
- Lead all necessary modifications to customize the document control and management system to meet project requirements
- Collaborate with other disciplines to ensure all documentation is processed according to the project schedule
- Manage deadlines and ensure appropriate communication is provided (to stakeholders) in case of scheduling conflicts
- Participate in all external/internal audits as needed, being fully aware of appropriate plans, policies, and procedures, and respond effectively to corrective action requests
- Maintain controlled drawing sets
- Establish engineering/document folders in accordance with record retention standards
- Assemble and compile submission packages according to project requirements
Qualifications
- A relevant post-secondary diploma or qualification is preferred
- More than 8 years of experience in document management, preferably in a leadership or supervisory role, within an engineering and/or construction environment is an asset
- Experience in compiling documents for project closure and submission
- Experience with electronic document management systems (EDMS) (strongly preferred)
- Advanced knowledge of document control procedures and file classification and retention systems
- Basic understanding of standard engineering practices
- Experience as an administrator with Microsoft SharePoint, Projectwise, Aconex, Teambinder, or equivalent document control software
- Ability to work autonomously and manage multiple priorities and deadlines effectively
- Excellent organizational and time management skills; ability to meet deadlines
- Decision-making and problem-solving skills
- Proven ability to manage multiple tasks simultaneously and respond effectively to changing priorities
