This person performs various tasks related to the development, implementation, and control of complex administrative standards and procedures. They provide technical expertise to ensure the successful completion of projects and the smooth operation of their department's activities.

Under the Communications and Alumni Relations Service, the person manages the administrative and budgetary aspects of the service, including billing, contracts, and requisitions. They also contribute to the preparation of various communication tools such as newsletters, particularly by entering content using the tools and platforms provided for this purpose (e.g., Dialog Insight). The person collaborates on the continuous improvement of administrative processes and provides support to the team in tasks related to their sector.

This person may perform some or all of the following functions:

  • Performs technical work to plan, control, and ensure the necessary services for the smooth operation of their sector.
  • Collaborates on the organization and execution, or assumes responsibility for the realization of specific activities and various events.
  • Prepares or assists the designated person in the elaboration of documents such as budget forecasts and reports, estimates, grant and claim requests, local assignment reports, and various reports.
  • Follows up on files under their responsibility, communicates or meets with involved parties, particularly to establish agreements and solve problems.
  • Responds to any administrative or budgetary information requests from various parties and advises them, taking into account their area of specialization, transmits or ensures the relevant documentation is obtained.
  • Disseminates, explains, and ensures compliance with regulations, policies, directives, administrative methods, and laws related to their activities.
  • Collects, updates, verifies, and analyzes data, compiles statistics, approves administrative and academic forms.
  • Conducts research related to specific files, prepares data for official publications, and writes reports or maintains various types of records. Creates and updates websites.
  • Assumes responsibility for operations and follows up on files such as budgets, inventories, telephony, billing, time management, class schedules, and facilities, procurement, teaching activities, application of collective agreement provisions, etc.
  • Performs document filing and applies the archiving procedure.
  • Participates in technical meetings, discussion groups, or information exchange forums. Consults documentation, specialized journals, and participates in training and information activities such as colloquia, exhibitions, and advanced courses.
  • Contributes to the development and implementation of procedures and tools necessary for the realization of their sector's activities. Informs concerned parties about problems affecting the smooth operation of activities and makes recommendations.
  • May be called upon to initiate new personnel to work and support the new staff of their unit or people holding the same position.
  • Uses relevant software for their field of activities (particularly Excel, Dialog Insight, and other software used at SCRD).
  • Uses various devices such as photocopiers, scanners, etc. May be called upon to perform service calls when required.
  • Participates in the writing, reviewing, and layout of administrative, institutional, or promotional documents.
  • May be called upon to participate in the organization and realization of occasional institutional events held outside normal working hours (e.g., degree ceremonies).
  • May perform the tasks of a related or lower position when required.

Requirements

Education: College diploma (DEC) in accounting and management techniques, or equivalent education

Experience: Two (2) years of relevant experience

  • Knowledge of major software in use
  • Very good mastery of office tools, particularly Excel and document layout (asset)
  • Knowledge and good learning abilities of certain software specific to the Service (e.g., Dialog Insight) (asset)
