As Lallemand continues to grow, we are creating a new Administrative Assistant position to support our leadership and contribute to the coordination of our corporate activities. We are looking for an organized, proactive, and professional individual who excels in environments where no two days are the same. The successful candidate will play a key role in managing schedules, organizing corporate events, and providing administrative support for various company initiatives.
This position is ideal for someone recognized for their organizational skills, discretion, attention to detail, and ability to manage multiple priorities simultaneously.
The main responsibilities of the successful candidate include, but are not limited to:
Administrative and Executive Support
- Manage the president's schedule, including planning meetings, coordinating priorities, and tracking important deadlines.
- Ensure administrative follow-up on strategic files and requests from the executive team.
- Coordinate the president's activities with industrial associations, business partners, and organizations where he represents the company.
- Manage the corporate donations and charitable initiatives file, including communications and tracking commitments.
- Prepare, organize, and maintain administrative files and reference documentation.
- Perform various administrative and operational tasks to support the company's activities.
Corporate Events and Training Coordination
- Participate in the planning and organization of corporate events, board meetings, training sessions, and company visits.
- Coordinate communications with hotels, conference centers, caterers, and other vendors.
- Manage invitations, confirmations of attendance, and participant lists.
- Ensure the booking of rooms, preparation of required materials, and on-site logistics.
- Participate in the budget tracking of events.
- Prepare badges, welcome documents, and kits for participants.
- Welcome visitors and contribute to providing a professional and warm experience.
- Ensure the smooth running of events with up to forty participants.
- Support various special projects and corporate initiatives as needed.
Some flexibility is required as the successful candidate may be called upon to work occasionally in the evenings or on weekends during corporate events or special activities.
Technical Skills
- Required
- Minimum 1 to 2 years of experience in an administrative, coordination, or executive support role
- Diploma or certificate of completion of a college program (DEC or AED) in administration, office management, management techniques, communications, tourism, event management, or a related field.
- Proficiency in both French and English, both spoken and written, is required due to the tasks associated with the position, including regular communication with vendors, business partners, visitors, and organizations located in Canada and internationally; the organization and coordination of meetings, corporate events, and activities involving both French and English-speaking participants.
- The successful candidate will need to use both French and English on a daily basis.
- Proficiency in Microsoft Office suite.
- Asset
- Proficiency in a third language (Spanish, Portuguese, German, Chinese, or Japanese) is a distinct asset.
