Reporting to the President, the Director of Finance and Administration ensures the effective implementation and management of administrative, financial, and IT services within the organization. They also identify opportunities to improve internal processes to maximize organizational efficiency and implement them.
RESPONSIBILITIES
- OPERATIONAL EFFICICY
- Develop and maintain dashboards and regularly track individual and team performance indicators with the relevant parties.
- Lead initiatives to increase operational efficiency, reduce delays, and improve productivity.
- Propose measures to optimize expenses. Be the main contact for externalized support functions (accounting service, IT support, etc.).
- HUMAN RESOURCES AND ADMINISTRATION
- Ensure compliance with employer obligations (CNESST, personal information protection, salary equity, etc.).
- Support partners in tracking the individual development plans of the team. Update the organization's internal policies.
- Guide employees in their deployment (foster the integration process, coordinate training, foster the achievement of strategic and billable hours goals).
- Manage real estate and movable assets and handle procurement of supplies.
- Ensure the maintenance of equipment and work tools. Equip yourself with up-to-date indicators to plan the optimal use of resources on mandates.
- FINANCIAL AND ACCOUNTING MANAGEMENT
- Track project budgets.
- Approve expense accounts and process payroll.
- Manage monthly billing in collaboration with directors, including billing for external vendors.
- Manage accounts payable and receivable.
- Lead the annual budget preparation exercise.
- Participate in the preparation of proposals and service offers.
- Supervise the maintenance of accounting books.
- Analyze budgetary discrepancies and propose corrective recommendations.
- SECURITY AND INFORMATION TECHNOLOGY
- Develop technological tools to increase the agency's service offerings.
- Provide first-level IT and technological support.
- Implement measures to protect against cyberattacks.
- DEPLOYMENT OF ARTIFICIAL INTELLIGENCE UTILIZATION
- Identify opportunities for automating internal processes, particularly by promoting the use of artificial intelligence.
- Guide the team in the use of new AI-related processes.
- CLIENT SERVICE
- Utilize internal skills, when relevant, for client mandates (data analysis, process automation, risk matrix development, etc.).
DESIRED PROFILE
- Required experience: 1 to 2 years of relevant experience.
- Required degree: Master's degree in management or a related field.
- Required languages: Bilingual.
- Relevant experience in project management and the implementation of performance indicators and dashboards.
- Experience in financial management (budget preparation and tracking, coordination of an accounting year-end).
- Relevant experience in supervising projects related to the implementation of new technologies and specifically artificial intelligence.
- Significant experience in team management.
- Marked experience in customer service.
- Knowledge of global health sector issues.
- Knowledge of labor standards.
- Mandatory knowledge of the Apple environment, Microsoft 360 suite, Harvest, Dext, Xero, and Calamari software.
- Strong strategic sense, strong leadership, proactive approach, and strong sense of humanity.
- Availability on evenings and weekends (occasionally).
SALARY
- Base annual salary of $95,000;
- Performance bonuses.
