About the role

The Sample Logistics Coordinator is responsible for overseeing all activities related to the arrival and receipt of samples:

• Track all incoming sample shipments.
• Coordinate sample receipt between the quality control service, technicians, and Watson designers.
• Manage all discrepancies noted at the sample level.
• Update all computer systems with relevant information regarding sample receipt.

What you will do here

• Establish and update the technician schedule based on priorities
• Ensure that all sample receipts are completed on time
• Participate in the verification of forms to ensure compliance with good documentation practices
• Track all incoming sample shipments and create a card in Kanbanize or SharePoint
• Complete the documentation related to sample receipt
• Identify areas for improvement to ensure productivity
• Participate in process improvement initiatives.
• Update milestones for all receipts in the project management system
• Implement new computer tools to increase operational efficiency
• Review and update standard operating procedures (SOPs)
• Write discrepancy reports, investigate causes, and propose corrective and preventive measures (CAPA)
• Coordinate with the team to process discrepancies within the specified timeframe
• Create and maintain all discrepancy tracking records related to the study
• Update sample discrepancies in the Watson LIMS system
• Communicate and collaborate with principal investigators and study designers to resolve discrepancies
• Investigate and initiate the reconciliation process when necessary
• Collect data, initiate procedures, and write justifications for CRAMs
• Generate and provide management with quality control reports (KPIs) such as discrepancies and divergences
• Make presentations during group meetings
• Perform all work in compliance with standard operating procedures (SOPs), good laboratory practices (GLP), and good clinical practices (GCP), and adhere to all company policies and directives
• Communicate and provide appropriate documentation to customs services and/or the carrier when necessary
• Perform any other tasks as needed.

What you will need to succeed

• College diploma in sciences or Bachelor's degree in sciences (B.Sc.)
• At least 3 years of relevant experience in sample management
• Data entry
• Good communication skills in French and English
• Knowledge of FDA-GLP, GCP, and TPD regulations is an asset.
• Experience in the medical or pharmaceutical field is an asset.
• Good organizational skills and interpersonal skills
• Proficiency in Excel, PowerPoint, and Word.
• Proficiency in SharePoint Office 365 would be an asset
• Proficiency in Watson LIMS would be an asset
• Attention to detail.

• Ability to work with minimal supervision.
• Ability to work in a dynamic environment
• Ability to handle multiple tasks while remaining attentive to details
