To support our growth, we are looking for a Professional Services Manager who will actively contribute to the coordination of clinical and administrative operations, while ensuring the supervision of professional services managers.

Reporting to the Clinical Coordinator, the Professional Services Manager plays a key role in the coordination of daily operations and support for professional services managers. She ensures the application of procedures, the standardization of practices, and continuous improvement of services to provide an optimal experience for both patients and teams.

To develop a deep understanding of our GMF-R, our clinical processes, our electronic medical record, and our organizational culture, the selected person will first undergo a three-month (3) probationary period as a medical secretary.

This period will allow for a thorough understanding of the realities on the ground and the development of a comprehensive view of the clinic's operations. Following a satisfactory evaluation of their integration and skills, the person will be promoted to the position of Professional Services Manager.

We are looking for a mobilizing, organized, rigorous, and solution-oriented person, capable of accompanying professional services managers in their daily functions and actively contributing to the development of the organization.

Job Conditions

  • Full-time permanent position (40 hours per week)

Responsibilities During Probation Period

During the first three months, the person will join the team of medical secretaries to develop an excellent knowledge of the GMF-R's operations.

The main responsibilities will be:

  • Welcome patients with professionalism and provide excellent customer service;
  • Register patients in the electronic medical record;
  • Schedule, modify, and confirm appointments;
  • Answer phone calls and follow up on messages for doctors, professionals, and patients;
  • Digitize and manage medical documents;
  • Familiarize with the organization's administrative and clinical procedures;
  • Collaborate with the different teams to understand the functioning of each sector.

Leadership and Management

  • Supervise, accompany, and support professional services managers in their daily functions.
  • Regularly follow up on activities and support managers in achieving their goals.
  • Foster collaboration, communication, and consistency of practices among different sectors.
  • Accompany managers in resolving operational issues.
  • Participate in the welcome, integration, and development of professional services managers.
  • Collaborate closely with the Clinical Coordinator in implementing organizational guidelines, procedures, and projects.

Interdisciplinary Collaboration

  • Work closely with doctors, healthcare professionals, professional services managers, and the Clinical Coordinator.
  • Act as a resource person for managers.
  • Foster a collaborative, respectful, and quality-focused work environment.
