Bilingualism is required as this is a national-level collaboration position, and the candidate will need to handle and follow up on various client and third-party requests that are only in English. This position also requires the candidate to be able to interact transparently with colleagues across our offices in Canada, where English is the predominant language. Given that we estimate that more than 60% of the work required for this position must be done in English, and to ensure that the employee in this position can accomplish their tasks autonomously and effectively, candidates for this position must be able to communicate appropriately in both French and English, both orally and in writing.

We are seeking a Bilingual Events Coordinator to join our team at our Montreal office. The successful candidate will need to demonstrate at least two years of experience in event organization, preferably in the professional services or hospitality sector. They will be responsible for coordinating and implementing on-site and off-site events, managing event logistics and vendor relationships, and ensuring an exceptional client experience. McCarthy Tétrault employees benefit from a hybrid work environment. As a Bilingual Events Coordinator, your tasks will include:

  • Working closely with colleagues to coordinate all aspects of in-person events, both on-site and off-site, including:

+ Providing directives and ensuring the execution of internal events as well as client-facing events on-site.

+ Ensuring that all event-related documentation is complete and up-to-date.

+ Coordinating internal vendors, third-party contractors, and external vendors to meet the needs of each event.

  • Regularly collaborating with the events team and members of other multidisciplinary teams.

+ Communicating audiovisual equipment requirements.

+ Coordinating room setup and catering services.

+ Ensuring that the necessary support is in place for events that take place outside of regular working hours.

+ Working closely with the client services team to ensure that all event-related needs are fully met.

  • Keeping the team lead informed of project progress and quickly reporting any situations requiring intervention or escalation.
  • Fostering strong collaborative relationships between different services, particularly concerning the firm's conference center activities.
  • The ideal candidate will stand out with the following profile:
  • Bilingualism (English and French) required.
  • College/university degree in business, marketing, communications, and/or event planning required.
  • A minimum of two years of experience in event organization, preferably gained in a professional services or hospitality environment.
  • Exceptional interpersonal skills and customer service aptitude.
