The Specialist – Airport Charges and Leasing is responsible for the processing, validation, and communication of accurate information regarding leasing and billing activities related to airports. The person holding this position ensures the integrity of the data and establishes rigorous documentation and clear reports regarding all airport charges and leasing transactions to provide reliable information to support informed decision-making. They act as the primary point of coordination between internal and external stakeholders to ensure the consistency and compliance of billing and data flows.

Responsibilities

  • Act as the primary resource for the management of contracts concluded with airport authorities and leasing data, ensuring the correct interpretation, updating, and application of leasing conditions across all systems, records, and reports.
  • Play a key role in the development of the automated leasing database and ensure its administration, ensuring the integrity and structure of the data, as well as its continuous updating.
  • Ensure the accurate and timely processing of airport authority invoices, verifying the compliance of charges against agreed-upon terms and supporting documentation.
  • Manage leasing-related billing (tenants and internal), ensuring it is complete, accurate, and compliant with contractual terms.
  • Manage leasing and rate data, ensuring their consistency, traceability, and integrity across all systems and reports.
  • Maintain and manage centralized data sources, including gate assignment databases, leasing management systems, and space occupancy files, ensuring the integrity and accuracy of the data, as well as the efficient use of airport assets.
  • Examine and resolve billing discrepancies, performing data reconciliation from different sources and systems.
  • Establish regular and ad-hoc reports on airport charges, leasing activities, and significant discrepancies to facilitate monitoring and decision-making.
  • Develop, maintain, and improve data sets and tracking tools to support billing transparency and report accuracy.
  • Ensure that documentation and supporting documents are complete, well-structured, and ready for audit.
  • Ensure compliance with billing terms, leasing contracts, and airport charge structures.
  • Work closely with the Accounts Receivable and Accounts Payable services, as well as other internal stakeholders, to harmonize billing and resolve issues.
  • Act as the primary resource for billing and leasing data-related requests.
  • Support budgeting and forecasting processes through data preparation and the establishment of reliable reports (without being responsible for financial strategy).
  • Identify opportunities for improving billing processes, reducing manual tasks, and optimizing data quality and report efficiency.
  • Assist team members with administrative tasks.

Qualifications

  • University degree in business administration, finance, accounting, or a related field (or equivalent professional experience).
  • Three to five years of experience in contract administration, data management, or report production.
  • Excellent understanding of billing processes, data controls, and reconciliation practices.
  • Experience working with contracts, leasing agreements, or structured billing frameworks, an asset.
  • Advanced proficiency in Excel and PowerPoint; experience with data management tools and financial or billing systems, an asset.
  • Excellent writing skills.
  • Strong attention to detail and data accuracy.
  • Proven ability to analyze data, identify discrepancies, and resolve issues.
  • Strong communication and coordination skills with internal and external stakeholders.
  • Proven punctuality and reliability to support the overall success of the team in a fast-paced environment.
