Barrou Immigration Inc. is a firm specializing in Canadian immigration. Our team consists of lawyers, consultants, legal technicians, and administrative staff committed to providing human, rigorous, and professional service to our clients.
We are looking for a key person to join our team as an accounting technician and office manager. This is a central, versatile, and strategic position for someone who will invest in accounting, administrative management, operational organization, and process improvement.
The person in this role will be responsible for the daily and periodic operational accounting of the firm, administrative office management, some internal technological follow-ups, and several aspects related to the general functioning of the operations. They will work closely with the entire team, as well as our external accounting firm and our IT technicians.
PROFILE REQUIRED
- Accounting, administrative techniques, management, office management, or related education;
- Significant experience in bookkeeping, operational accounting, and administrative management;
- Experience in a professional office, law firm, or environment involving a trust account;
- Experience in an immigration firm, an asset;
- Very good ability to autonomously manage the daily, monthly, and periodic accounting of an SME or firm;
- Strong interest in office management, process improvement, and administrative coordination;
- Good technological ease and ability to quickly learn new tools;
- Ability to provide basic technical support to a team on everyday issues;
- Sense of organization, diligence, autonomy, resourcefulness, and professionalism;
- Ability to manage multiple priorities in a dynamic environment;
- Good judgment, discretion, and team spirit;
- Must demonstrate excellent punctuality;
- Must speak both French and English fluently.
TASKS AND RESPONSIBILITIES IN ACCOUNTING AND BOOKKEEPING
- Entry of routine accounting operations (journal and monthly entries);
- Management of vendor accounts: receipt, verification, entry, filing, payment of invoices, and accounting of operations;
- Management of client accounts: invoicing, collections, payment tracking, account statements, accounts receivable, and accounting entries;
- Administrative and accounting management of the firm's various accounts (current account, trust account, and PayPal account), including deposits, transfers, payments, invoicing, and reconciliation of operations;
- Management of the firm's operating expenses (rent, subscriptions, software, IT services, telephony, Internet, supplies, insurance, and other current expenses);
- Regular payments of the firm according to established deadlines;
- Bank reconciliations, in collaboration with the external accounting firm;
- Preparation of information related to withholding tax deductions and follow-up with the external accounting firm;
- Tracking of credit cards, reimbursements, expenses, and supporting documents;
- Production of the financial reports required by management;
- Preparation of the documents and information necessary for monthly, quarterly, and annual closings, in collaboration with the external accounting firm.
TASKS AND RESPONSIBILITIES IN FIRM OPERATIONAL MANAGEMENT
- Distribution of client files among technicians and consultants, in collaboration with management and the concerned team members;
- Administrative follow-ups related to the opening, processing, and progress of client files;
- Preparation, updating, and tracking of fee agreements and other administrative documents related to files;
- Purchasing of supplies, equipment, subscriptions, and services necessary for operations;
- Administrative tracking of contracts, licenses, renewals, subscriptions, and other recurring expenses;
- Maintenance of a rigorous system for filing accounting, administrative, and contractual documents;
- Administrative support to management in various projects, follow-ups, and ad-hoc needs;
- Active participation in the continuous improvement of internal processes, the implementation of new tools, and the automation of administrative and accounting tasks;
- Administrative and technological management of employee arrivals and departures, including the creation, modification, or deactivation of access to various tools, platforms, software, email boxes, and shared spaces, in accordance with internal procedures;
- Tracking of licenses, access permissions, subscriptions, and other elements related to the firm's technological environment;
- Collaboration with external IT technicians, particularly for connection issues, platform access, basic tool configuration, and other common technological issues.

WORK CONDITIONS AND BENEFITS
- Starting salary between $60,000 and $80,000 per year, depending on experience and profile;
- 4 weeks of vacation per year;
